Customs clearance at DPD Poland

Remember that the information provided in this section are basic guidelines. It may happen that, depending on the goods being shipped, their value, or other specific characteristics, the customs agency may request additional documents. It is also advisable to determine what documents/information may be required by the country to which the package is being sent. All prepared documents should be attached to the package being shipped.

Prepare the goods you will be sending.

  • Check if you can send the product you want to ship via DPD.
  • Measure and weigh your package. For example, in the DPD CLASSIC EXPORT service, the maximum weight of the package is 31.5 kg, and the longest side cannot exceed 175 cm. The sum of the perimeter of the base plus the height cannot exceed 300 cm.
    • H + 2L + 2W ≤ 300 cm
    • H - longest side
    • L - length
    • W - width
  • Secure the goods. Ensure packaging that will allow for the safe transport of the shipped items.

  • When sending goods outside the European Union, it's important to know that they will be subject to customs clearance, which is done by submitting a declaration to the Customs Office. To prepare the declaration, an invoice is required. Each country to which the goods are being sent may have its own requirements regarding the information that should be included on the invoice. Therefore, it's essential to see what basic data must be included on the invoice.
    • The invoice must be printed (not handwritten), no crossing out or correction fluids are allowed; five signed and stamped copies must be prepared.

Additionally, when shipping to the countries listed below, please remember:

  • i. Switzerland - providing the recipient's UID number
  • ii. Norway - providing the PID number, fødselsnummer, or d-number
  • iii. United Kingdom - providing the identification number issued by the British customs authority (HMRC) to companies outside of GB, selling goods worth up to 135 GBP to British consumers

Waybill and other shipping documents

  • In the DPD Online application, generate the label and affix it to the package. Ensure that the label is printed in good quality so that the scanner can easily read the code. This will facilitate the smooth transportation of your package. Do not affix the label on the seams and avoid bending the barcode. In the case of shipping to the United Kingdom and Ukraine, after preparing the label, proceed to the customs clearance module and fill in all the necessary data. The DPD Online instructions provide a description of each step.

  • Prepare, print, and sign the declaration. Additionally, if you are sending a package to Ukraine, attach a statement of limited destination territory and content declaration.

Authorization - only for the first shipment

  • Customs declaration is filed on your behalf by the customs agency. Therefore, it is necessary to prepare and submit an authorization that enables them to do so. Preparing the authorization is a legal requirement and is permanent in nature. When sending the authorization, include the company's registration documents (National Court Register, Central Registration and Information on Business, civil partnership agreement).
    Authorization templates:
    • Switzerland, Norway, Ukraine, Bosnia and Herzegovina, countries served by air service. *
    • For shipments to the above-mentioned countries, after correctly preparing the authorization, it is necessary to pay the customs duty required for its registration. The amount of PLN 17 should be transferred to the following account:

      In the case of authorisations with an electronic signature:
      a) if the principal has a registered office address in Poland – pay the stamp duty to the bank account of the tax authority competent for the principal's registered office address
      b) if the principal does not have a registered office address in Poland – pay the stamp duty to the bank account of the Warsaw City Hall

Confirmation of payment should be sent to DPD.
